PROPERTY OWNER'S GUIDE


IS IT LEGAL?

A certificate/permit from your local Board of Health maybe required.  Contact your local Town  via CAPE & ISLANDS LINKS for their regulations regarding rental property.

CLEANING: 

A simple concept but one which creates a lot of confusion.  If you require a separate cleaning fee, let it be known UP FRONT.  A notation should be made on the Reservation Form and Lease.  Generally, it is the responsibility of the owner to arrange and pay for cleaning services.  When your tenant arrives, the property should be spic and span, move in condition.

HOUSE NUMBER:

The number of your house should easily identifiable not only for emergency personnel but also for your tenant and their guests.

INSURANCE:

Please consult with your Insurance Agent to provide adequate liability coverage for you and your property.

KEYS:

Key arrangements should be made far enough in advance to avoid any inconvenience with your tenant.Make sure you have plenty of extra keys to the property. Do not rely on a single key and its prompt return by an exiting tenant.  Some property owners leave an emergency key hidden on the property or with a manager or neighbor in the event of a lockout. DIRECTIONS:

Printed directions to the property are recommended.  They can be incorporated or attached to the lease or it maybe helpful to put together a check-in package for your tenants with the key, directions and anything else you feel would be appropriate.

RESTRICTIONS:

Some condominium complexes and residential associations have limitations and restrictions on rentals and/or use of facilities.  Please, don’t embarrass yourself or the tenant with non-compliance.  If keys or passes are required for any amenities, see that they are readily accessible.

TRASH DISPOSAL:

Not only for your tenant but consider your neighbors.  During the heat of the summer, trash left unattended will attract all sorts of undesirable animals.  Please make appropriate arrangements with your tenants.

SECURITY DEPOSITS AND DAMAGE:

Whatever your policy regarding return of the security deposit, let the prospective tenant know up front.  This information should be on the lease as well.

If you have a cancellation policy – let that be known as well, again ideally in writing and on the lease.

If you are involved in a dispute over property damage, a picture is worth a thousand words.  Some owners photograph their property prior and after each tenancy, advising the tenant of this policy prior to their arrival.

When renting your property, reasonable wear and tear is to be expected.  A certain amount of property loss, be it breakage of a glass or unintentional damage of another sort will occur.  This is not gross negligence or malice and does not warrant the property owner retaining a security deposit.  Renters who are unfairly charged will not be returning.  Repeat business is the name of the game for vacation rentals.  A returning vacationer may even refer their friends to your property.  This is good business for you, more income and less advertising dollars spent.


CREDIT AND SECURITY SCREENING:

Unfortunately, there are those potential tenants out there who are a problem.  In our attempt to protect you and your property, we have provided you with the option of obtaining a Credit and Security (criminal) Report.

Although nothing is fail-safe and there is never knowing how someone is going to treat your rental property with a Credit and Security (criminal) Report, you will be provided with information which will aid you in determining if the potential tenant has the ability to pay the rent or walk off with Aunt Martha’s sterling. 

Your acceptance of a CREDIT CARD is additional security for your rental dollars.  Surveys have shown a large percentage of tenants would prefer credit card payment(s), feeling a sense of recourse in the unlikely event of a dispute.  Credit Card acceptance will permit you, the property owner, to accept rentals on short notice never having to wait for check clearance in addition to freeing you of excess bookkeeping and check writing.


SMOKE DETECTORS:

Must be in working order.  It is suggested you direct any and all questions to the Fire Prevention Division of your local Fire Department.
